Department of Studies and Planning

Introduction
The Department of Studies and Planning was established in 2014 in response to the university’s need for a specialized department responsible for setting strategies, defining objectives, drafting future plans, monitoring their implementation, and establishing unified work frameworks to face any potential future challenges.

Department Mission:
To define the future scientific and administrative direction of the university, its formations, and its colleges by formulating a set of decisions and administrative practices aimed at achieving the best performance and drafting policies and strategies aligned with the university’s mission.

Department Vision:
To strive for the highest levels of success, excellence, and administrative quality in education, employment, and scientific research, and to contribute to serving both the university and the Ministry.

Department Objectives:

  1. Establishing new colleges and academic departments, scheduling these needs, and determining requirements for buildings and equipment to elevate academic standards.
  2. Understanding the general standards used in planning, monitoring, and performance evaluation to develop software programs compatible with academic capabilities, aiming to raise the scientific level and meet the demands of the current stage.
  3. Enhancing the professional and functional level of all scientific and administrative departments according to established plans through monitoring, performance comparison, and future performance planning.

The Department of Studies and Planning consists of three divisions:

First: Data and Informatics Division

This is one of the most important divisions due to its continuous tasks and activities, including:

New Establishments:
The division handles the administrative and practical steps to establish:

  • New Colleges
  • Scientific Departments and Branches
  • Divisions and Units

Curricula and Academic Systems:

  • The division oversees curriculum development in the colleges, ensuring alignment with global standards.
  • It monitors changes in academic systems (annual or semester-based) across colleges.
  • It obtains official approvals for changing the name of a college, department, branch, or division.

Meeting Minutes:

  • The division analyzes University Council meeting minutes, provides opinions on matters related to the department, and communicates with the Ministry for approvals on relevant topics.

Academic Calendar:

  • The division circulates the academic calendar to the university’s colleges annually. This is one of its most important tasks.

Second: Statistics Division

A vital and active division responsible for preparing and managing statistics at the university or college level. This includes databases for staff, faculty, and students.

Key Tasks:

  1. Providing the Ministry with statistical reports, including:
    • University Statistics on January 2nd each year covering faculty, their qualifications, universities of graduation, graduation years, academic titles, employment records, and full staff data (permanent and temporary).
    • University and Technical Statistics covering deferred students, failed students, dismissed students, hosted students, and the university’s physical assets (buildings, labs, computers, furniture, etc.).
    • Graduate Statistics for both morning and evening studies at undergraduate and postgraduate levels.
    • Annual Reports
    • Staff and Faculty Activity Reports sent in February annually.
    • Database of Resigned/Left Faculty and New Appointments sent by the end of January annually.
    • Admission Plans for the upcoming year, verified against university statistics, sent by mid-April each year.
    • Continuous updating of student databases and other miscellaneous reports.

Division Goals:

  • Develop plans and general policies in coordination with other university departments.
  • Prepare the university’s annual scientific plan and monitor its implementation.
  • Compile statistical reports about university centers and colleges.
  • Create a comprehensive database.
  • Prepare the university's annual report.
  • Formulate comprehensive plans with a defined timeline for implementation.
  • Submit activity and operational reports to the Ministry.
  • Prepare monthly and external reports requested by entities like the governorate or the Board of Supreme Audit.

Third: Planning and Follow-up Division

An essential division focused on achieving the following tasks:

  1. Drafting short- and long-term plans to achieve university objectives.
  2. Monitoring the official email and using it to send all training course details to university colleges.
  3. Preparing monthly reports on faculty changes and submitting them to the Ministry.
  4. Sending monthly reports to the Ministry regarding projects the university seeks to finance through the private sector.
  5. Using the electronic circular system to send official documents to colleges, departments, and units.

Activities of the Studies and Planning Department:

  1. Establishing new colleges and scientific departments, scheduling these needs, and determining building and equipment requirements to improve academic standards.
  2. Understanding general standards for planning, monitoring, and performance evaluation to ensure academic enhancement in line with the current phase.
  3. Enhancing the professional and functional levels of all scientific and administrative departments based on set plans, through monitoring and comparing current with past performance, and planning for future improvements.
